When Should I Start Looking for a New Office Space?

Moving into a new office can completely revolutionise the way your business functions. It can improve your employee satisfaction, boost their work efficiency, and allow more space for new staff, new departments, and anything else you need to take your business to the next level. But often the search for new office space is time consuming and stressful; with so much on the line, making a decision about when to move offices can be incredibly daunting. As Stelmain has been providing office space to businesses for over 30 years, we’d like to offer a little guidance as to when a business should start looking for new office space and how they can make the transition as smooth as possible.

Your Current Lease

First off, it’s important to think about your current lease. If your lease isn’t up for quite a while and it would be expensive to get out of it, you shouldn’t really rush the process. However, as looking for the right office space to meet your business’s needs can take a while, it doesn’t hurt to start looking as early as two years before your current lease is up. This might seem like overkill, but a well-organised office move can make a huge difference as to whether or not your business hits the ground running after it changes office space.

Make a List of Special Requirements Your Office May Have

It’s worth remembering that, next to staff wages, office space is usually the second biggest expense for any office business. With this in mind, it’s vital that your office space meets your business’s specific needs.

No two offices function in the same way, and your business may need an exceptionally fast internet connection, or easy access to the motorway, or even just a lot of natural light. Make a list of any special requirements you think your business may have and ask your employees what they require to work more productively. Allowing your staff to have a say about your next office space is a great way to include them in the decision-making process and to assure them that you’re listening to their needs. Once you have this list of office special requirements, you’ll be able to significantly narrow down your property search.

Location

The location could be considered an offshoot of your office’s requirements mentioned in the section above, but it is very important and should be considered carefully. When considering the location for your next office, think about your employees’ commute and if moving too far away could severely impact their daily life. There’s no point finding the perfect office if your best staff gradually hand in their notices as they find work closer to home.

It’s also important to think about the businesses close to your new office. If you occupy the same building, there may be an opportunity to network with potential new clients or companies that you may be able to work with in some way. This kind of opportunity should never be your main reason for choosing an office space, but it should always be in the back of your mind.

Lastly, consider whether or not your office space needs to be in or close to a city centre. If your business regularly receives guests, either as clients, freelancers, etc., then it may make a lot more sense for your office to be in a city centre. You’ll pay slightly more for the privilege, but it may be worth the additional cost.

Factor-in Your Business’s Growth

It’s vital that you plan for the future, factoring in your business’s growth over the next few years. There’s no point in spending the time and money moving into a lovely new office space if you’re going to outgrow it within a year. Talk to the heads of your different departments (if you have departments) and work out how many more staff your business is likely to take on if it continues to perform and progress. This way, you can occupy your next office space for a long time, without having to immediately worry about your next big move!
